Registration Instructions

If you are interested in being a sponsor or vendor at Central Florida Earth Day, please READ (but do not complete) the online Vendor Packet. If you have any questions after reading the Vendor Packet, we will be happy to answer them. New vendors MUST contact us BEFORE registering.

IMPORTANT, PLEASE READ!:
* ALL food vendors must contact us first before registering. The food court is full unless you have been personally invited by an Earth Day organizer.  Other food vendor spaces may be available.
* All OTHER
Vendors who participated in Earth Day 2025 or Veg Fest 2025 (only!) may register without contacting the Earth Day team first.
* All potential vendors who did not participate in the above events MUST CALL the appropriate point of contact BEFORE registering.
For animal rescues, call Elaine Fiorelli at 407-970-5569.
For all others, call Larry Rumbough at 321-331-1859.
* Please call because we want to talk to you. An email is NOT sufficient.

We request that you consider paying by check/money order so that we don't have to pay the PayPal and Constant Contact processing fees (total fees
are
5.99% + $0.99 for each transaction). Thank you!

PLEASE DO NOT REGISTER UNLESS YOU HAVE READ AND FOLLOWED THE INSTRUCTIONS ABOVE! IF YOU DON'T, YOUR REGISTRATION WILL BE CANCELLED WITHOUT NOTICE!

PLEASE DO NOT TAKE A DISCOUNT THAT YOU ARE NOT ENTITLED TO! IF YOU DO, YOUR REGISTRATION WILL BE CANCELLED AND YOUR PAYMENT WILL BE REFUNDED (MINUS THE PAYPAL AND CONSTANT CONTACT PROCESSING FEES)!

The deadline for applications and payment is March 31, 2026. Please complete your application as soon as possible. You may register now and pay later (by March 31). Certain categories of vendors have closed and will close. Late applications may be accepted if space is available, but those vendors may not be listed in the Earth Day Info Guide printed in the Orlando Weekly on April 22, 2026.
Conditions of Agreement
1. Central Florida Earth Day reserves the right to accept or decline any applications at its discretion.
2. Each vendor must submit an individual application and payment. Spaces may not be combined.
3. Setup begins at 7:00 a.m. on Saturday, April 25, 2026. Vendors must be ready for operation by 9:30 a.m.
4. Vendors must staff their exhibits during the entire event from 10:00 a.m. to 6:00 p.m.
5. Vendors are responsible for setup and breakdown of their exhibit. Each vendor will provide their own tent (100 sq. ft. maximum) or table (8 ft. maximum) unless other arrangements are made in advance.
6. All tables must be covered with tablecloths. Vendors must provide their own tablecloths.
7. Vendors must have signage clearly identifying the name of the vendor. Food vendors must have signage clearly listing food offerings and prices.
8. Vendors shall exhibit, sell, or give away only merchandise, literature, and services specified in Application.
9. Vendors shall not sell or give away food or beverages without prior approval.
10. All food sold or given away must be vegan. Vegan means no animal products: flesh, fat, broth, gelatin, egg, dairy, or honey. All produce must be organic and locally grown. Prepared foods shall be organic and locally grown if at all possible. All food vendors must use recyclable and/or compostable service ware. No Styrofoam will be permitted.
11. All merchandise sold or given away must be vegan, not tested on animals, and should be as environmentally friendly as possible.
12. Should any contingency interrupt or prevent the holding of Central Florida Earth Day, including but not limited to inclement weather, war, terrorism, or lockouts, then event coordinators and Central Florida Earth Day shall in no way be liable to vendors. Should any contingency prohibit the event from taking place on April 25, 2026, event coordinators will make their best effort to reschedule the event on a weekend day as near to the original date as possible.
13. Vendors agree to make no claim for any reason against event coordinators or The City of Orlando for loss, theft, damage, or destruction of goods, nor for injury to themselves, employees, volunteers, or visitors incurred at the event.

Notes on Registering

1. We strongly suggest that you register for a tent space as shade for table spaces can not be guaranteed.
2. The massage table or chair rate is exclusively for licensed massage therapists (note that the rate is for each table or chair--more than one massage therapist may share a table or chair). A for profit entity that does massage as part of its regular business may include one massage table or chair at no additional cost if it signs up for a tent space.
3. Nonprofit rates are exclusively for registered nonprofit organizations. A for profit entity not selling anything at the event does not make it a nonprofit. Nonprofit vendors may not promote for profit entities without the express permission of event organizers.
4. Artist rates are for individual, non-commercial artists and crafters.
5. Do not under any circumstances sign up as an animal rescue group unless you are actually an animal rescue group. No exceptions!
6. Please do not request access to electricity unless you really need it. There are limited locations where electricity is available.
